These Terms of Use explain the additional contractual terms between you (“
you”, “
your”
or “
User”) and Crewfare, Inc (“
Crewfare,” “
us,” “
our,” or “
we,”), regarding your use of and access to our CREWFARE® ALL ACCESS™ Platform and the services we provide in connection with the CREWFARE ALL ACCESS Platform ( “
ALL ACCESS Terms”).
ALL DISPUTES RELATED TO OR ARISING FROM YOUR USE OF THE ALL ACCESS PLATFORM, INCLUDING ANY RESERVATIONS OR BOOKINGS MADE THROUGH THE PLATFORM, ARE SUBJECT TO THE MANDATORY ARBITRATION AGREEMENT AND CLASS ACTION WAIVER SET FORTH IN CREWFARE’S TERMS AND CONDITIONS. BY USING THE ALL ACCESS PLATFORM, YOU ACKNOWLEDGE AND AGREE THAT THOSE ARBITRATION AND DISPUTE RESOLUTION PROVISIONS ARE INCORPORATED HEREIN BY REFERENCE AND APPLY TO YOUR USE OF THE PLATFORM IN FULL.
1. ABOUT THE ALL ACCESS TERMS
The ALL ACCESS Terms are in addition to, and incorporated into Crewfare’s Site Terms, which can be found here
crewfare.com/terms. Capitalized terms used in the ALL ACCESS Terms, which are not otherwise defined here, have the same meaning as in the Site Terms.
As used in these ALL ACCESS Terms, “
ACCOMMODATION” or “
ACCOMMODATIONS” shall mean a hotel, villa, or any other lodging that is booked and/or managed through the CREWFARE ALL ACCESS Platform.
In connection with your use of the ALL ACCESS Platform, your personal information (“
Personal Data”) will be collected and used in accordance with our Privacy Policy located at:
crewfare.com/privacy.
BY CONTINUING TO USE THE CREWFARE ALL ACCESS PLATFORM, YOU ACKNOWLEDGE THAT SPECIFIC TERMS PRESENTED ON THE INDIVIDUAL ACCOMODATION’S WEBSITE, ON THE RESERVATION CONFIRMATION PAGE AND/OR ON ANY RESERVATION CONFIRMATION EMAIL YOU RECEIVE ARE INCORPORATED HEREIN BY REFERENCE AND APPLICABLE TO YOU. THIS INCLUDES, BUT IS NOT LIMITED TO, CANCELLATION POLICIES, REFUND CONDITIONS, AND PAYMENT TERMS. WE ADVISE YOU TO THOROUGHLY REVIEW THESE TERMS DURING AND AFTER THE BOOKING PROCESS TO ENSURE UNDERSTANDING AND COMPLIANCE.
During checkout, you may be given the option to opt in to receive marketing communications. This consent is entirely optional and is not a condition of completing your purchase. By opting in, you consent to Crewfare sharing your Personal Data with the hotels, event organizers, and experience providers directly associated with your booking (collectively, 'Event Partners') for their own marketing and communications purposes, as described in our Privacy Policy at
crewfare.com/privacy. You may withdraw this consent at any time by unsubscribing from any marketing communication or by contacting us at support@crewfare.com.
2. ACCOMMODATION MANAGEMENT
When you use the CREWFARE ALL ACCESS Platform (which includes use of our “Manage Reservations” tool), you may book and manage your Accommodation reservations through us. If you booked your Accommodation reservation through one of our event partners and received a confirmation email from us for your reservation, you may also interact with us and our ALL ACCESS Platform to manage the reservation that you booked when purchasing your event tickets. We only provide Accommodation booking and management services through the ALL ACCESS Platform. Any questions regarding the event you are attending or fulfillment of tickets that you purchased should be directed to the event partner from whom you purchased the event tickets.
Our ALL ACCESS Platform only displays Accommodations that are available from our partners. While we strive to provide accurate data from our partners, before making any reservations or decisions based on the data presented through our ALL ACCESS Platform, we recommend that you verify the Accommodation information independently.
3. RESERVATION TYPES AND POLICIES
3.1 RESERVATION TYPES
Refundable. Should your reservation qualify for a refund of any kind, please note that the refund will exclude all taxes, fees and Extras (described in Sections 4 and 5 below), as those charges are non-refundable (“
Refundable Rate”). Reservations made under the Refundable Rate, if offered, are eligible for a refund until the Refundable Rate cutoff date specified at checkout and in the reservation confirmation email. To receive a refund, you must meet all the criteria specified on your reservation confirmation. If your reservation qualifies for a refund of any kind, please note that it usually will be processed within seven (7) business days.
Non-Refundable. Certain reservations may not be canceled or refunded and will be stated as such at the time of making the reservation.
Cancellations. If cancellations are allowed, the terms and conditions for cancelling the reservation will be specified in the booking description and on the checkout page.
3.2 CHANGES TO RESERVATIONS
Changes to Reservations. If changes are available for your reservation, this will be displayed in the “Manage Reservation” section of your account. You may also contact our Customer Service via e-mail at
support@crewfare.com or by phone at +1 786-400-2739 or toll-free at +1 888-780-8183 or chat with us online. Note that there may be limitations on changes that can be made to your reservation. This includes changes to room type, dates and adding or removing guests. Please ensure your reservation details are accurate before finalizing and proceeding to checkout through our ALL ACCESS Platform. You agree to pay any cancellation and/or change fees that you incur as a result of changes to your reservation. If you do not cancel or change your reservation before the cancellation policy period applicable to the Accommodation you reserved, prior to your date of arrival, you will be subject to a charge equal to applicable nightly rates, tax recovery charges and service fees, as applicable.
3.3 ADDITIONAL ACCOMMODATION POLICIES
No-Show Policy. If you will be arriving late to your Accommodation, you must give us notice no later than 9 p.m. on the evening of your scheduled check-in at the Accommodation. Without proper notice, the Accommodation may mark you as a “no show” which could cancel your reservation. In cases of a “no-show,” we will not issue any refunds and will not be responsible for any additional charges or fees that the Accommodation may charge.
Age Restriction Policies. Each Accommodation has its own age restriction policy. Some are 18 and over and some are 21 and over. If an Accommodation has an age restriction policy, we will try to include this information on the booking information page. However, we recommend that you check with the Accommodation you are interested in booking directly to confirm age restrictions
before booking your reservation. By purchasing an Accommodation through our Site, you confirm that you meet the minimum age requirements.
We will not be able to provide you with a refund if you make a reservation and do not meet the minimum age criteria.
Other Policies. The price is based on the number of adults you specified in your search and covers room, tax, and resort fees, as applicable. The Accommodation may charge additional fees when more than the number of adults specified stay in a single room, per the Accommodation’s individual policy. Furthermore, you will be responsible for additional fees such as for security deposits, incidentals, resort fees (if not previously charged, or for any applicable changes), and additional room nights. Any additional fees incurred by you or your guests will be charged by the Accommodation directly at the time of your checkout. You must present a debit or credit card with a matching photo ID at check-in to pay the Accommodation directly for any such charges. All Accommodation rooms are nonsmoking. You will be responsible for any fees/charges incurred as a result of smoking.
3.4 DISTANCE SELLING AND RIGHT OF WITHDRAWAL
In accordance with applicable EU and UK consumer protection laws, please note that the statutory right of withdrawal (also referred to as the “cooling-off period”) does not apply to contracts for the supply of
- services related to leisure activities (such as event tickets) where the contract provides for a specific date or period of performance, or
- accommodation services (such as hotel bookings or other lodging) supplied for a specific date or period.
Therefore, all ticket purchases and accommodation bookings for specific dates are firm and final upon confirmation and payment. No statutory right of cancellation or refund applies except as expressly provided in these ALL ACCESS Terms (e.g., for event cancellation or as otherwise specifically stated).

4. EXTRAS
4.1 Extras Terms
In connection with select events, Crewfare may offer additional services or amenities, such as transportation, merchandise, or tickets (collectively, “
Extras”) alongside your Accommodation booking. Availability of Extras is not guaranteed, and even if promoted, such Extras may be unavailable at the time of booking.
When and where available, Extras will appear on the screen after you select your Accommodation and may be added to your cart before checkout. Ticket availability will be displayed separately from other Extras.
Crewfare’s responsibility is limited to making Extras available for purchase on your behalf. For tickets purchased directly from Crewfare, we will deliver those tickets to you as described. Unless expressly stated otherwise, all Extras (other than tickets sold directly by Crewfare) are offered by independent third-party providers.
Crewfare does not guarantee the availability, quality, safety, or performance of any Extra, and disclaims all liability for any acts or omissions of third-party providers. Crewfare acts solely as a booking intermediary with respect to all Extras and does not own, operate, manage, or supervise any Extra or the facilities, venues, vehicles, or personnel through which Extras are delivered.
Alcohol Events. Certain Extras may include events at which alcoholic beverages are served ('Alcohol Events'), including but not limited to hosted welcome parties. All Alcohol Events are operated exclusively by licensed third-party Event Operators. Crewfare does not hold a liquor license, does not sell or serve alcohol, and is not responsible for alcohol consumption or any consequences arising therefrom. By purchasing an Extra that includes an Alcohol Event, you represent that you are 21 years of age or older, agree to comply with all venue rules and applicable law, and release Crewfare from any liability arising from alcohol service or your consumption of alcohol at any Alcohol Event.
Transportation Extras. Ground transportation included in any Package or Extra is provided by independent, licensed transportation operators. Crewfare does not own or operate any vehicles and bears no responsibility for any accident, delay, injury, or loss occurring during transportation services. All claims relating to transportation must be directed to the applicable transportation operator.
Age-Restricted Experiences. Certain Extras, including Alcohol Events and other venue-based experiences, are restricted to guests 21 years of age or older. Entry may be denied by the venue operator to any guest who cannot present valid government-issued photo identification. Crewfare will not provide refunds due to failure to meet age requirements or inability to produce required identification.
Any issues, claims, or disputes regarding an Extra must be addressed directly with the relevant provider.
Please refer to the terms on any voucher, ticket, or confirmation you receive and on the provider’s website for the applicable terms and conditions of the Extra.
4.2 Event Packages
Crewfare may offer bundled travel packages ('Packages') that combine Accommodation bookings with one or more Extras, including event tickets, hosted social events, ground transportation, sightseeing tours, wellness experiences, or festival merchandise. By purchasing a Package, you acknowledge and agree to the following:
(a) Intermediary Role. Crewfare is not the organizer, producer, host, or operator of any festival, event, concert, welcome party, tour, or experience included in a Package. All Package components other than Accommodation are provided by independent third-party Experience Providers. Crewfare's role is solely to facilitate the booking of such components on your behalf. Where a Package includes an Alcohol Event, the terms of Section 4.1 (Alcohol Events) apply in full, including the requirement that you represent you are 21 years of age or older.
(b) Package Component Availability. Package components are subject to availability and may be modified, substituted, or cancelled by the applicable Experience Provider. Crewfare will endeavor to notify you of material changes and, where reasonably possible, offer a substitute of comparable value.
(c) Performer and Programming Changes. The programming, lineup, and content of any festival or event included in a Package is determined exclusively by the event organizer and is subject to change at any time without notice. No refund or credit is owed by Crewfare due to changes in festival programming, performer cancellations, or schedule modifications.
(d) Third-Party Provider Terms. Each component of a Package may be subject to the separate terms and conditions of the applicable Experience Provider. By purchasing a Package, you agree to be bound by the applicable terms of each Experience Provider associated with your Package, which will be made available to you at or before checkout.
(e) Ticket Sourcing and Entry. Event tickets included in Packages are sourced through Crewfare's authorized partnerships with event organizers or their licensed distributors. Tickets are non-transferable and subject to the event organizer's entry policies. Crewfare is not responsible for tickets declined at entry due to policy violations, misuse, or misrepresentation by the ticket holder.
5. ADDITIONAL PAYMENT TERMS
In addition to the Payments section on our Site, the following are additional payment terms applicable to our ALL ACCESS Platform.
5.1 PAYMENT TYPES
At the time of booking the Accommodation, you may have the option to choose from different payment arrangements. The types of payments available to you for that Accommodation will be displayed prior to checkout. Not all of the following payment types may be available for a particular Accommodation booking.
Pay in Full: Complete payment at the time of booking the reservation. If you pay in full at the time of the Accommodation booking, your payment will be processed immediately.
Pay Monthly Payment Plan: Installment payments over time, with specific terms and conditions which will be displayed when you choose the Pay Monthly Payment Plan option at checkout. The following policy currently governs the procedures for addressing payment installment failures:
First Attempt: If the first scheduled payment fails, we will send a “Payment Failed” email with instructions for retrying the payment.
Second Attempt: If the second attempt for payment fails, we will send a second “Payment Failed” email for a final attempt at payment.
Final Attempt: If the final attempt for payment fails, a notification will be sent, indicating possible cancellation within 24 hours through our Manage Reservations tool (“
Final Attempt Notification”).
Cancellation: If no payment is made within 24 hours of the Final Attempt Notification, automatic cancellation of the reservation occurs 6 days (144 hours) after the initial attempt. Users can request to reinstate the reservation based on availability and arranging the appropriate payment. THERE IS NO GUARANTEE THAT A RESERVATION CAN BE REINSTATED AFTER CANCELLATION.
Crewfare reserves the right to change its Pay Monthly Payment Plan policy at any time. Any changes to its Pay Monthly Payment Plan policy will appear on the Site. If you have used our Pay Monthly Payment Plan option, we will also email the updates to our policy to you.
Pay When You Arrive: At the time of booking the reservation, the option to pay the Accommodation directly instead of paying in advance through the ALL ACCESS Platform will be displayed if it is available.
5.2 TAXES, FEES AND DEPOSITS
You are solely responsible for payment of all taxes and fees, including any taxes or fees that may be associated with any Extras. All taxes and fees are non-refundable. The taxes and fees charged by Crewfare depend on the Accommodation being reserved and payment type. This may include state and local taxes, resort fees, credit card processing fees, and additional fees based on the number of guests specified at checkout on our ALL ACCESS Platform. Taxes and fees applicable to your Accommodation booking at the time of checkout will be displayed on the checkout page and Crewfare is not responsible for additional fees charged by Accommodations at check-in/checkout. We have the right to charge administrative fees, such as additional fees for utilizing our Payment Plan option or additional fees for changes made to an existing reservation, including by use of our Manage Reservations tool. The Accommodation may require you to present a credit card or debit card upon check-in to cover additional expenses incurred during your stay. Such deposit is unrelated to any payment received by Crewfare for your Accommodation booking. The Accommodation may also charge taxes and/or fees, which include, but are not limited to, fees for additional guests (above the number of guests specified at checkout from our ALL ACCESS Platform), incidentals, additional room nights, other fees incurred during your stay and any applicable taxes (collectively, “
Accommodation Fees”). Accommodation Fees will be charged directly by the Accommodation at the time of checkout from the Accommodation to the credit or debit card on file with the Accommodation, or otherwise in accordance with the Accommodation’s terms and conditions. Failure to pay any required Accommodation Fees at check-in or checkout may result in denial of service by the Accommodation. Such fees are outside Crewfare’s control and are the sole responsibility of the guest.
5.3 CONVERSION RATE AND TRANSACTION FEES
All prices on our ALL ACCESS Platform are displayed and processed using U.S. dollars as the applicable currency. Please note that the conversion fee is just an estimate. Prior to completing your purchase, we encourage you to confirm the applicable conversion rate and any foreign transaction fees that your bank or credit card may charge you for the transaction prior to completing the transaction. We are not responsible for any differences in price due to conversion rate differences or foreign transaction fees charged by any bank or credit card issuer.
6. THIRD-PARTY INVENTORY AND SUPPLIER RELATIONSHIPS
The ALL ACCESS Platform may display and facilitate bookings for accommodations, tickets, and related services sourced from (a) inventory directly contracted by Crewfare, (b) third-party travel suppliers (including but not limited to Expedia, Amadeus, and others), and (c) event organizers or their agents. Certain ticketing or event-related products may be provided through integrations with ticketing platforms such as Logitix, and may be subject to additional terms and conditions from those providers. By making a booking, you acknowledge and agree to any such additional terms, which will be presented to you at the time of booking or made available via hyperlink.
Crewfare acts as an intermediary for third-party inventory and is not responsible for the acts, omissions, or performance of third-party suppliers, except as required by law. All claims or disputes relating to third-party inventory must be addressed to the relevant supplier, subject to their terms. This intermediary status extends to all experience components included in Packages, including but not limited to: hosted social events (including Alcohol Events), ground transportation, boat or water tours, wellness and recovery services, and any other ancillary experiences. Crewfare's role with respect to each such component is limited to facilitating the booking and, where applicable, collecting payment on behalf of the relevant Experience Provider. The Experience Provider—not Crewfare—is the operator and party responsible for delivery of each such component.
In the event of a conflict between these ALL ACCESS Terms and those of a third-party supplier, the third-party supplier’s terms shall govern solely with respect to the relevant inventory or service.
7. ADDITIONAL TERMS AND CONDITIONS
When you proceed to checkout, you will be presented with additional terms before completing your purchase. You may also receive additional terms and conditions on the checkout page, after you checkout on your reservation confirmation and in email communications that you receive regarding details about your reservation, such as directing you to the Accommodation’s specific terms and conditions.
PLEASE READ ALL ADDITIONAL TERMS AND CONDITIONS CAREFULLY. SUCH ADDITIONAL TERMS AND CONDITIONS ARE BINDING ON YOU.
8. FORCE MAJEURE POLICY
In the event that fulfillment of a reservation becomes impossible, impracticable, or illegal due to circumstances beyond Crewfare’s reasonable control, including but not limited to, acts of God, acts or threats of terrorism, war, pandemic, epidemic, fire, flood, riots, government regulations, labor strikes, government action, regulation or restriction, natural disasters, strikes, civil disorder or unrest, other emergencies, or interruption caused by third-party providers or other external parties over whom Crewfare has no control (each, a “
Force Majeure Event”), Crewfare shall not be held responsible or liable for any resulting cancellation, delay, or disruption to your booking.
Crewfare monitors reservations made through our ALL ACCESS Platform and will make reasonable efforts to identify those impacted by a Force Majeure Event. Where practicable, we will attempt to notify affected users and provide guidance on available refund, credit, or exchange procedures, subject to applicable third-party policies (e.g., venues, hotels, producers, or transportation providers).
Please check your ALL ACCESS account, our Site, or your email for the most current information regarding the status of your reservation. You may also contact us directly if you need assistance.
Crewfare will not be liable for any loss, cost, or expense (including travel, lodging, Extras, or other incidentals) you or any third party incur as a result of a canceled, postponed, rescheduled, or otherwise impacted reservation due to a Force Majeure Event. Where a specific Package component (rather than the entire Package) is impacted by a Force Majeure Event, Crewfare will use commercially reasonable efforts to identify a substitute experience of comparable value. If no substitute is reasonably available, Crewfare's liability is limited to a pro-rata refund of that component's allocated price only; no further compensation is owed.
For the avoidance of doubt: changes to festival or event programming—including performer cancellations, lineup modifications, or set time changes—are not Force Majeure Events for purposes of Package refund eligibility, and no refund or credit is owed by Crewfare in connection with any such change.
9. INDEMNIFICATION
You agree to indemnify, defend, and hold harmless Crewfare, its affiliates, subsidiaries, officers, directors, employees, agents, partners, event producers, hotels, venues, service providers, and licensors (collectively, the “
Indemnified Parties”) from and against any and all claims, demands, causes of action, liabilities, damages, fines, penalties, losses, costs, and expenses (including reasonable attorneys’ fees) that arise out of or relate to:
- your acts or omissions, or those of your guests or invitees, in connection with any reservation, booking, attendance at an event, or use of accommodations or services made available through the ALL ACCESS Platform;
- any property damage or loss, or personal injury or bodily harm, you or your guests cause to any person or to the property of Crewfare, its partners, hotels, venues, or other users;
- your breach or alleged breach of these Terms, any applicable third-party terms (including those of hotels or venues), or any law, regulation, or ordinance;
- your violation of any rights of another party, including but not limited to privacy, intellectual property, or contractual rights; or
- any claims brought by third parties arising from or relating to your conduct, participation, or negligence in connection with bookings or events arranged through the ALL ACCESS Platform.
Crewfare reserves the right, at your expense, to assume the exclusive defense and control of any matter for which you are required to indemnify the Indemnified Parties, and you agree to cooperate with Crewfare’s defense of such claims. You may not settle any matter without the prior written consent of Crewfare. This indemnification obligation will survive termination of your relationship with Crewfare and use of the ALL ACCESS Platform.
