When organizing a wedding, conference, festival, or group trip, securing a hotel room block can make travel easier and more affordable for attendees. However, not all room blocks are structured the same way. Understanding the difference between courtesy and guaranteed hotel blocks can help you choose the option that best fits your event's size, budget, and risk tolerance.

What Is a Courtesy Hotel Block?

A courtesy hotel block allows organizers to reserve a set number of rooms for guests without being financially responsible for filling them. If attendees don’t book all the rooms by a specified cutoff date, the hotel simply releases the remaining inventory back to the public.

This option is popular for smaller events, weddings, and first-time organizers because it offers flexibility with little to no financial risk. However, courtesy blocks typically include fewer rooms and may not be available during peak travel periods or high-demand events.

What Is a Guaranteed Hotel Block?

A guaranteed hotel block requires the organizer to commit to a specific number of room nights. In exchange, hotels are often more willing to offer larger blocks, discounted rates, upgraded amenities, or additional concessions.

Because the organizer is guaranteeing a portion of the hotel’s revenue, these contracts often include attrition clauses or financial penalties if the agreed-upon room pickup isn’t met. Guaranteed blocks are commonly used for conferences, festivals, corporate meetings, and larger group events with predictable attendance.

Which Option Is Right for Your Event?

The best choice depends on your event’s size and booking confidence. If you’re planning a smaller gathering or aren’t sure how many attendees will need accommodations, a courtesy block provides flexibility and peace of mind. If you have strong attendance projections and need a larger inventory of rooms, a guaranteed block may unlock better rates and perks for your group.
